    Overview

    We are looking for an individual who is efficient and comfortable being a member of a team to fill our Admin Support role at TA Instruments. The ability to multi-task, utilize Microsoft Office tools, and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and highly organized. Assuring a steady and accurate completion of workload in a timely manner are keys to success in this position.

    Typical tasks of the position include, but are not limited to

    • Effectively communicates with the organization to suppliers in order to meet business needs.
    • Reads and routes incoming mail and directs outgoing mail.
    • Coordinates resolutions to quoting database issues and generates help documents on quoting specific instrument configurations for the various product lines.
    • Reviews expense reports, verifies required documentation, resolves discrepancies and processes in a fast-paced environment.
    • Organizes and maintains file systems, steering organization towards electronic means of storage.
    • Creates paper and electronic copies of correspondence or other printed materials.
    • Performs keyboard input into electronic systems.
    • Performs data collection and reporting tasks using Microsoft Office tools.
    • Orders and maintains office supplies.
    • Responsible for maintenance of office equipment including copiers, printers, and fax machines.
    • Answer incoming calls and assume other receptionist duties when needed.
    • Assist managers in welcoming new hires and provide guidance on general guidelines within the Manufacturing organization.  
    • Assist with non-admin duties when needed
    • Arranges and coordinates travel schedules and reservations.

    The successful candidate will have a combination of knowledge, skills, and experience that would include the following

    • Knowledge attained through the completion of an Associate's Degree and 2-4 years of Administrative or Customer Service experience
    • This could also be substituted with 0-2 years Administrative or Customer Service experience with a Bachelor's Degree (Business Major preferred or related field)
    • Proficient in Microsoft Office tools such as Microsoft Word, PowerPoint, Excel
    • Advanced skills in Excel is a plus
    • Ability to analyze and innovate administrative duties
    • Excellent attention to detail
    • Superior organization skills
    • Strong work ethic with the ability to multi-task
    • Ability to work well in a team setting
    • Experience in Manufacturing environment a plus
    • Able to support other departments with tasks when needed by working cross-functionally
